Sending on Behalf Permission for a Resource Room

Create a Outlook profile for the Resource room(s).

1. Click on Start

2. Scroll to Control Panel
3. Click on Mail
4. Click on Show Profiles
5. Uncheck the Prompt for a profile to be used
6. Click on Add and use the name of the resource room
7. Click ok
8. Put a check in the Manually configure server settings or additional server types
9. click Microsoft Exchange
10. Uncheck Using as Cache Exchange Mode
11. Put in the correct server in the Microsoft Exchange    Server box
12. In the User Name field put in the Resource room name and check name
13. Click Next
14. Click Finish

 
Open the resource room from the drop down room

1. Click on Tool

2. Scroll down to Options
3. Click on the Delegates tab
4. Click Add to add your name
5. Give yourself Editor permissions for the calendar and   Inbox

Import contacts from Excel or Access to Outlook


These are users who keep contacts on an Excel Spreadsheet.
  1. Open Outlook and Click on Contacts
  2. Choose File
  3. Then Import and Export
  4. In the new window that opens, choose Import from another program or file
  5. Click Next
  6. Scroll to the type of Spreadsheet Excel or Access
  7. Click Next
  8. Browse to find the file where you saved
  9. Click Next
  10. Select Contacts (Or the folder in Contacts that you set up if you used a folder)
  11. Click Next
  12. Click Finish

How to Encrypt email messages

Sending and viewing encrypted e-mail messages requires both sender and recipient to share their digital ID (digital ID: Contains a private key that stays on the sender’s computer and a certificate (with a public key). The certificate is sent with digitally signed messages. Recipients save the certificate and use the public key to encrypt messages to the sender.), or certificate. This essentially means the recipient is given the private key that matches the sender’s public key. Once the parties have shared certificates, sending and viewing encrypted e-mail messages between them is the same as with any other e-mail messages. Encrypt a single message

  1. In the message, on the Message tab, in the Options group on the ribbon, click the Encrypt Message Contents and Attachments button Encrypt message and attachment.  Note   If you don’t see this button, click the Options Dialog Box Launcher in the lower right corner of the group to open the Message Options dialog box. Click the Security Settings button and in the Security Properties dialog box, select Encrypt message contents and attachments. Click OK and then close the Message Options dialog box.
  2. Compose your message and send it.

Encrypt all outgoing messages
Choosing to encrypt all outgoing messages means, in effect, your e-mail is encrypted by default. You can write and send messages the same as with any other e-mail messages, but all potential recipients must have your digital ID to decode your messages.

  1. On the Tools menu, click Trust Center, and then click E-mail Security.
  2. Under Encrypted e-mail, select the Encrypt contents and attachments for outgoing messages check box.
  3. To change additional settings, such as choosing a specific certificate to use, click Settings.
  4. Click OK twice.

How to get messages sent from Delegates to appear in the Proxy’s Sent Items folder

Overview

When a delegate sends email as a delegate to a Proxy account, sent items are retained in the delegate’s  Sent Items folder.  Use the instructions below to setup Outlook to also keep sent items in proxy’s account

 Step 1: Proxy sets up a Rule to move these messages to their Sent Items

While logged into the Proxy account, a rule can be set up that automatically moves certain messages.  To do this, first select Tools then Rules and Alerts… and then click on the New Rule… button.

 

The Rules Wizard default is to “Start creating a rule from a template”.  The Step 1 default is to “Move messages from someone to a folder” – both of these settings are fine.

 In the Step 2 window click on “people or distribution list” and select the proxy account and all delegates from the address book window that pops up.  Then click on “specified” and select the “Sent Items” folder from the list and then click the OK button.
Click the Next > button.  The top item will be ticked (“move it to the specified folder”).  Do not select any more actions.

 
Click the Next > button.  Check the box next to “except if my name is in the To or Cc box”.

 
Click the Next > button.  Give your rule a name e.g. “Move Delegate Sent Items”.  ‘Run this rule on messages already in “Inbox”’ should be unchecked while “Turn on this Rule” should be ticked.

 

Click the Finish button.  It is important that “OK” or “Apply” are selected from the remaining “Rules and Alerts” window that displays a list of the rules – if “Cancel” is chosen before either of these then the new rule will not be saved.

 
Step 2: Send Blind Copy to the Proxy
When sending a message as a delegate, using the proxy’s name in the “From…” field, you can use the “Bcc…” field within the original message to copy the manager for whom you are a delegate. The proxy for whom you are a delegate will receive a copy of the original message, but the recipient will not see any names that you list in the “Bcc…” field.

Using freeware with Email script

Obi asked that I post something about automating a script I used to email a report to a customer from our report sever.  I have a script that runs a report designed in Cognos and attaches it to an email out of Outlook.  The only problem with this is that Outlook security patch asks if it’s ok for the program to send an email on my behalf, defeating the purpose of automation.  After doing some asking and some research, there is a freeware program called ClickYes that my lan admin agreed to load on our sever.  The strict purpose of this freeware is to click yes to the security question mentioned above.  Feel free to email me with any questions or if you’d like to see how I set it up.

    Removes all RSS, Internet Calendar, and SharePoint subscriptions from Account Settings, but leaves all the previously downloaded content on your computer. This is useful if you are unable to delete one of these subscriptions within Office Outlook 2007.
    /cleansniff
    Overrides the programmatic lockout that determines which of your computers (when running Outlook simultaneously) processes meeting items. The lockout process helps prevent duplicate reminder messages. This switch clears the lockout on the computer it is used, enabling Outlook to process meeting items.

    Deletes the subscription messages and properties for subscription features.
    /cleanviews
    Restores default views. All custom views that you created are lost.

    Used without command-line parameters for standard OLE co-create.

In an open email window, type the distribution list
1. if the distribution list does not immediately become underlined, click the check names button. The DL will become underlined and will have a plus symbol in front of it. At this point, don’ click on the plus symbol
(Alternatively, you can look up the DL by typing the name in the address book)
2. Right click on the DL, and click on Outlook properties
3. Click on Modify members
4. Click Add or Remove (as the case may be)
5. Click Ok, OK and you ‘re done

Notes from troubleshooting
To open a user’s mailbox from OWA, you must have explicit full mailbox access granted by the administrator.
This explicit access must be granted by powershell.
If a user can’t access a user’s mailbox via owa 2007, you may follow these steps to troubleshoot and resolve the issue

step 1
for eg Get-MailboxPermission -identity “pbrown51” will tell you current permissions set for pbrown51
Access rights must be {FullAccess} and isInherited must be false. If this is not the case, you
must use this command to apply explicit fullaccess to the mailbox:
